Not every birthday needs a camera, and that's fine. A few kinds of party reliably reward it. Milestone ages carry weight beyond the number, the transitions people talk about for years. Surprise parties have a genuine, unrepeatable moment at the start, the reaction, that's gone in seconds and can't be restaged. And any celebration built around an older relative is worth it simply because everyone in the room knows how much a gathering like that one means, and how easily it goes unrecorded otherwise.

A smaller, everyday birthday usually doesn't need a videographer, and a few photos on someone's phone will do the job fine. Save the booking for the parties where, looking back years later, you'll wish you had more than a handful of blurry pictures scattered across different phones.

What two hours actually covers

You don't need a full day for a strong birthday film. About two hours, timed around the moments that matter, is usually enough.

• Arrivals and the room before things get going, decorations, the first guests settling in
• The surprise reaction, if there is one, filmed from a position that catches the birthday person's face clearly
• Speeches and toasts, in full where the sound allows
• Candles, the cake and the singing
• A handful of relaxed group shots while everyone's already together

A guest message corner

One of the simplest additions that gets the most use afterwards is a quiet corner with a camera on a tripod and a small sign inviting guests to record a short message. It costs almost nothing to set up and works especially well when not everyone who'd want to be there could make it, or when a milestone birthday means messages from people who might not be around for the next one. Guests tend to relax into it once a couple of others have gone first.

Put it somewhere a little away from the main noise, near the entrance or a quieter side room, so the audio comes out clean and people don't feel like they're performing in front of the whole party while they record.

What to tell your videographer in advance

A little planning ahead of the day makes a two-hour booking cover far more ground.

• The running order, roughly what happens when, so nothing important is missed while the camera's elsewhere
• Who's speaking, so they can be positioned well and the audio picked up properly
• Whether it's a surprise, and if so, where the guest of honour will be facing when they arrive
• Rough guest numbers and the venue layout, so there's a sense of the space beforehand
• Anything that must be captured, a specific relative, a particular tradition, a gift being given

A short highlight film or the full speeches?

These do different jobs, and most families end up wanting both. A short highlight film, a few minutes with music, is what actually gets rewatched, shared with family who couldn't attend and put on again next year. The full, lightly edited speeches matter more as an archive, especially when they're heartfelt or from someone who won't be at the next big birthday. Since both come from the same footage, asking for the full speeches alongside the highlight film adds relatively little to the cost.

If you're only choosing one, think about who you're making it for. A highlight film travels further, shared on group chats and social media. Full speeches sit quietly in an archive, watched rarely but valued deeply the day someone does put them on.
